Privacy policy

Sotera is operated by NINO LLC ("Sotera", "we"). Sotera gives hair salons, barbers, nail technicians and other beauty businesses ("salons") a website, online booking and client records. This policy explains what we collect, why, and what we never do with it.

Who is responsible for your information

When you book with a salon that uses Sotera, the salon decides what it needs from you and how it uses it; we store and process it on the salon's behalf. When you sign up as a salon, we are responsible for your account information.

What we collect

• When you book: your name, phone number, email if you give it, the appointment you chose, and any notes you add.
• When you call a salon's Sotera phone assistant: the number you call from, the length of the call and what was booked. A recording or transcript is kept only if the salon has turned that on, and is deleted automatically after the period the salon chose.
• When you text with us: your mobile number, the texts we send you, your replies, and whether you agreed to receive texts and when.
• For salons: account and billing details. Card payments are handled by Stripe; your card number never reaches Sotera.

How we use it

• To make, confirm, change and remind you about appointments.
• To let the salon see its bookings and its own client history.
• To run, secure and improve the service, and to meet legal obligations.

Text messages and your mobile number

We send appointment texts only to people who asked for them — by ticking the box when booking online, or by saying yes when the salon's phone assistant asks. Agreeing is never a condition of booking.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. This excludes the service providers that deliver our texts (our telecom carrier), who receive your number only to deliver the message.

Who we share it with

We do not sell personal information. We share it only with the salon you booked with, and with the service providers we need to run Sotera — hosting and database, email and text delivery, payments and voice AI — each only to the extent needed to provide their service to us. We may disclose information if the law requires it.

How long we keep it

Booking and client records are kept while the salon uses Sotera, so it keeps its client history. Call transcripts are kept only if the salon turns them on, and for no longer than it chose. Records of text consent and opt-outs are kept so we can honour them.

You can ask the salon you booked with to see, correct or delete your information, or write to us at hello@sotera.to and we will help.
